The live dataset brief: a copy-and-paste template

A short template for scoping the market, fields, evidence standard, refresh cadence and delivery workflow before collection begins.

Most dataset problems begin as scope problems. The team agrees on a topic but not on the inclusion rules, evidence standard or decision the final table needs to support.

Use this brief before collection begins. It is deliberately short enough to complete with the people who will use the data.

Define the decision

Name the person using the dataset, the decision they need to make and what becomes possible when the information is current.

If the answer is simply “research,” keep asking. The downstream action determines which fields and freshness standards are worth paying for.

  • Primary user and team
  • Decision or workflow supported
  • Current research process and frequency
  • Cost of a missed or incorrect result

Specify the dataset

Write the entity type, inclusion criteria, exclusions, required columns and acceptable sources. Mark which fields may be inferred and which require a direct current statement.

Add two positive examples and two plausible exclusions. Examples expose ambiguity faster than another paragraph of abstract scope.

Agree the operating rhythm

Choose the refresh cadence, material-change threshold, reviewer and delivery channel. The result may be a maintained table, a Slack alert, a CRM update or context supplied to an agent.

A clear operating rhythm prevents the dataset from becoming another export nobody owns.

A good brief creates a shared acceptance test before the expensive work begins. It also gives you a stable definition against which future coverage and change quality can be measured.
